Questions about BillEase billing software

These answers follow the Windows program as it runs today. Where a return is only prepared on screen, the answer says so. Prices are before GST unless the sentence says payable.

What this billing software is

What is BillEase billing software?

BillEase is a Windows program for a shop in India. It prints the GST invoice, keeps batch stock, and posts double-entry books from the same entries. The person at the counter and the owner use one database. It is published by SSB Consultancy Pvt. Ltd., Ranchi.

Is BillEase only a pharmacy program?

No. A pharmacy is one business type. Kirana, electronics, stationery, clothing, restaurant, hotel, wholesale, repair and a mall use the same download. The business type, chosen at registration, changes labels and which extra screens appear. It does not install a second product.

Does a restaurant or a hotel need a different installer?

No. There is one zip. Restaurant tables and a hotel folio are already in that program. They appear when that business type is chosen, or when the restaurant or hotel module is switched on in Settings. Paying for more users does not add a module the smaller licence cannot open.

Can I use it on a phone or in a browser?

No. BillEase runs on a Windows PC in the shop. It is not a phone app and it is not a website you log into to make bills. A second computer connects to the main PC. The bill is still stored on the main PC.

Which Windows version does it need?

Windows 10 or Windows 11, 64-bit. Run BillEase.exe. The .NET runtime is inside the program, so you do not install .NET separately.

Does billing work without the internet?

Yes. Sales, purchase, stock and accounts on that PC do not need the internet. A second PC in the shop needs the main PC switched on and reachable on the shop network. A PC outside the shop needs a path across the internet. BillEase does not log in to the GST portal.

Can one computer hold more than one firm?

Yes. Each company has its own encrypted database. One firm cannot read another firm’s bills. You switch company before you start the day’s bills. The licence and the trial belong to the computer, not to each company.

Who can open which screen?

An administrator can open everything, including users, the bill designer and companies. An accountant can purchase, keep accounts, make returns and open reports. A billing login can make sales bills and use restaurant or hotel screens when those modules are on. A billing login cannot edit or cancel a saved bill, and it does not open purchase, accounts or GST.

The 10-day trial and the licence

How long is the free trial?

Ten days, starting when registration finishes. Closing the program does not start the ten days again. The licence screen shows the days that are left.

What can I do during the trial?

You can bill, purchase and keep accounts on that computer. The trial allows 3 signed-in PCs connected to the main PC. Backup, restore and automatic backup do nothing until a licence file is loaded.

Can I start the trial again by deleting the database?

No. The trial start is stored in more than one place. Deleting the database does not grant another 10 days. Reinstalling does not reset a trial that has already started.

What if the computer clock is set backwards?

If the clock is more than two hours earlier than the last time BillEase was used, the program stops until the date and time are corrected. Setting the clock back does not extend the trial.

What opens when the trial ends?

Only the licence screen. It shows this computer’s machine id and a place to load a licence file. Sales, purchase, stock and accounts stay closed until a licence for that machine is loaded.

What does a licence file check?

Four things. The signature, so a changed file is rejected. The machine id of the main PC, so a file made for another computer is rejected. The expiry date, after which only the licence screen opens. The user count, which is how many PCs may be signed in to the main PC.

Does the name Single counter or WAN hide menus?

No. The edition name is printed on the licence screen. The program does not hide a menu because the file says Single counter, LAN or WAN. Restaurant and hotel screens follow the business type and the module switches in Settings.

When does it warn that the licence is about to end?

A warning is added when 15 days or fewer remain. After the expiry date printed in the file, only the licence screen opens. Renewal is a new file from SSB Consultancy for the same machine, with a later expiry. A file that expires sooner than the one already installed is rejected.

Price, GST on the price, and renewal

What does the single-counter licence cost?

The list price is ₹7,999.00 before GST. The offer, and the only discount in the catalogue, is ₹4,999.00 before GST for one PC, one user, one year. GST at 18% is ₹899.82. The amount payable is ₹5,898.82.

Is GST included in ₹4,999.00?

No. ₹4,999.00 is before GST. You pay ₹5,898.82. Every other price on the catalogue is also stated before GST unless the line says payable.

Which price is discounted?

Only the single-counter licence, from ₹7,999.00 to ₹4,999.00 before GST. Small shop, Busy counter, Front desk, Firm LAN and WAN sell at list. Next year’s renewal also uses the list price, not ₹4,999.00.

What does one extra user cost?

An extra signed-in PC is ₹2,500.00 before GST. GST on that user is ₹450.00. Payable per extra user is ₹2,950.00. The first user is already inside the base price. A later user is issued as a new licence file for the same machine, with the higher count.

How is a five-user LAN price worked out?

Busy counter is 1 included user plus 4 extra users. List price is ₹7,999.00 plus ₹10,000.00, which is ₹17,999.00 before GST. GST is ₹3,239.82. Payable is ₹21,238.82. There is no offer on this row.

What is the highest LAN price?

Firm LAN is 17 users: 1 included plus 16 extra. List price is ₹47,999.00 before GST, which is under the ₹49,999 ceiling. Payable is ₹56,638.82. It is the same program, not a different product.

What does the WAN licence cost?

The WAN list price is ₹1,49,999.00 before GST for 10 users. There is no discount. GST is ₹26,999.82. Payable is ₹1,76,998.82. Each user after 10 is still ₹2,500.00 before GST, ₹2,950.00 payable.

How is next year’s AMC calculated?

Renewal is 18% of the list price, before GST, then 18% GST on that renewal. The single-counter offer of ₹4,999.00 is not the base. The base is ₹7,999.00, so AMC before GST is ₹1,439.82 and AMC payable is ₹1,698.99. Extra users added at renewal are ₹2,500.00 each before GST, on top of that.

GST invoices and the sales bill

What is a pakka bill and what is a kacha bill?

A pakka bill is a GST invoice. A kacha bill is an estimate with no GST. Kacha bills are left out of GSTR-1, GSTR-3B and the HSN summary. You can switch kacha off in Settings if the shop should only raise tax invoices. Pakka numbers start with INV. Kacha numbers start with EST. Then the financial year, then a running number. The financial year runs from April to March.

When is the tax CGST and SGST, and when is it IGST?

On a pakka bill, the customer’s state code decides. If it matches the shop’s state, the tax splits into CGST and SGST. If the state code differs, the tax is IGST. A walk-in cash bill can leave the party empty and still type a name on the bill. A credit sale needs a customer party.

Does BillEase file the GST return?

No. GSTR-1, GSTR-3B and the HSN summary are prepared from pakka bills and can be exported. BillEase does not log in to the GST portal and does not file the return. Someone still files from the portal, using these figures if they choose.

Does it create an e-invoice or an e-way bill?

No. The program does not create an e-invoice IRN and it does not create an e-way bill. Those steps, if the shop needs them, are done outside BillEase.

Which GST rates can an item use?

An item’s GST rate has to be 0, 5, 12, 18, 28 or 40. Sale rates either already include GST, which is usual at a retail counter, or they exclude GST, which is usual for a wholesaler so tax is added on the bill. That choice is in Settings.

How can a bill be paid?

Cash, card, UPI or credit. Cash posts to the cash account. Card and UPI post to the bank account. Credit needs a customer party. One bill uses one mode. It cannot be split across cash and UPI, or any other pair of modes. There is no payment-gateway reconciliation.

What do F9 and F10 do on the sales screen?

F2 opens sales billing. F9 saves the bill without printing. F10 saves and prints. Alt+H holds the bill and starts the next customer when held bills are on. Alt+C clears the screen after you confirm. A bill already saved is not deleted by Alt+C.

Can a saved bill be edited, cancelled or deleted?

Sales Bills is F5. Edit opens the bill again. A cancelled bill cannot be edited. A bill that already has a sales return cannot be edited until that return is deleted. Cancel keeps the bill number, marks it cancelled, and reverses stock and the accounts entry. Delete removes the bill. Both ask for a reason, which is written to the audit log. Settings can forbid cancel, and can forbid edit and delete. A billing login cannot edit or cancel.

Can the bill be sent on WhatsApp or SMS?

The buttons on Sales Bills use the templates in Settings. They send only when that channel is switched on and the API details are filled in. If those boxes are empty, the button does not send a message.

Can the printed bill layout be changed?

Yes. The bill designer is Ctrl+4, and only an administrator opens it. It changes what is printed. It does not change the saved totals. Four templates are already there: A4, A5, thermal 80 mm and thermal 58 mm. You choose columns, headings, widths and blocks such as GSTIN, drug licence, amount in words and a signature. In Settings you name the printer for bills, thermal, barcodes and reports. Copies can be 1 to 5.

Stock, purchase and quotations

How is stock counted?

Stock is rebuilt from the movement list: opening, purchase, sale, return, adjustment and transfer. You do not type a new quantity over the top of an item. Verify and repair, under Settings, checks that the quantity still matches those documents. Services, dishes and room charges have no stock and are not on the stock screen.

Which batch is picked on a sale?

Search by name, composition or barcode. When the template tracks expiry, the batch offered first is the one that expires first. You can choose another batch. Expired stock can be blocked on a sale only when that template tracks expiry and the setting is on. An electronics warranty date is stored and does not block the sale after that date.

Can the sale rate be higher than MRP?

No. Sale rate cannot be above MRP. On the bill, the rate can be changed only when Settings allow a rate change. Discount percent cannot pass the maximum set in Settings.

What does a pharmacy bill ask for on schedule drugs?

Schedule H, H1, X and narcotic can be set on a pharmacy item. H1, X and narcotic lines ask for the doctor and the patient, and they appear on the schedule register. A pharmacy must enter an expiry. Other shops may leave expiry blank. Drug licence numbers are typed at registration for a pharmacy and hidden when the business type does not use them.

How do size and colour work for clothing?

Size and colour are separate stock rows, each with its own quantity and barcode. There is no style × size × colour matrix screen. Pieces per pack is 1 when you sell whole packs. If a strip has 10 tablets and you sell tablets, type 10.

Does a quotation reduce stock?

No. A quotation, opened with Ctrl+Q, does not move stock, does not post accounts, and is not a GST invoice. Convert to bill is the moment stock moves. You choose cash, card, UPI or credit, and pakka or kacha. If there is not enough stock, the quotation stays open and no bill is saved. An expired quotation cannot be converted until you change the valid-until date. A quotation already converted cannot be billed again unless that bill is cancelled. If Settings forbid a rate change, the quoted rate has to match the batch sale rate.

Can I quote an item that is not in stock yet?

Yes, if you type a rate. If you leave the rate blank, the program uses the current sale rate of a batch that exists. Credit, when you convert, needs a customer on the quotation. There is no separate quotation print layout. The sales bill remarks include the quotation number, and you print that bill the usual way.

Who can enter a purchase, and what does it post?

Purchase is F3, for an accountant or an administrator. A billing login does not open it, except a counter purchase of one item while a sale is open, and only when that setting is on. A purchase line needs the item, batch, expiry or warranty, quantity, free quantity if any, purchase rate, MRP and sale rate. Saving increases stock and posts the purchase account, input GST, and the supplier or cash. Pakka purchases are the input in the GST summary. Kacha purchases stay out of GST. A purchase return reduces stock by the quantity you send back.

Accounts, expenses and reports

How do I record rent, salary or electricity?

There is no separate expense screen. An expense is a payment voucher, opened with F4. Debit the expense ledger and credit cash or bank. If that ledger does not exist, add it under Ledgers as an expense account. A receipt clears a customer: debit cash or bank, credit the customer. A journal must balance or it is refused. Contra moves money between cash and bank.

Can I post on a locked date or a future date?

A date on or before the books-locked date is refused. A future date is refused unless Future billing is on in Settings. Each voucher type can be switched off. Deleting a voucher asks you to confirm and writes the audit log.

Is salesman commission posted into the books?

No. When commission is on, a salesman or medical representative can be picked on the bill and the commission is stored against that bill. It is a report. It is not posted into the ledger. You pay it with a payment voucher.

How do loyalty points work?

Loyalty points can be switched on in Settings. A saved customer earns points from the bill total. A name typed on the bill, with no party selected, does not hold a balance. Redeemed points come off the amount still to collect, up to the percent set in Settings. The default cap is 50% of the bill. Points earned on the same bill cannot be spent on that bill. The rest of the bill is still paid in one mode: cash, card, UPI or credit.

Is there one profit and loss for every branch?

No. Profit and loss and the balance sheet are for the company that is open. There is no combined profit and loss. A head office can open a combined trial balance, which adds accounts that share a name. That combined trial balance is not a filed return. A branch whose database cannot be opened is left out.

Is there payroll, TDS or cost centres?

No. There is no payroll, no TDS return, and no cost centres. Salary is recorded as a payment voucher if you choose to enter it that way. It is not a payslip module.

Restaurant billing and the hotel folio

What does the restaurant module add?

Tables, kitchen tickets and a kitchen display. You add a table with a name, a section and a number of seats. Green on the board is free. Amber has an open order. A note such as “less oil” is stored on that line. Send to kitchen prints a ticket. Dishes already sent are not sent again. You can move an order to another free table.

Does a dish reduce ingredient stock?

No. A dish is a service. It does not consume a recipe, and it does not deduct ingredients. A packaged item on the same order, such as bottled water, does leave stock. Settling a table saves an ordinary GST invoice, so the books match a counter sale.

How often does the kitchen display update?

It re-reads the database every 15 seconds. It does not push a live update to the screen. You mark a dish preparing, ready or served on that display.

Can a table order be charged to a hotel room?

Yes, if a guest is checked in and the hotel module is on. Settle to a room does not make a bill yet. It posts the lines onto the guest folio. Goods charged this way stay in their own category on the department report. Dishes stay under Food and beverage.

What does the hotel module add?

Rooms, bookings, check-in, advances, folio charges and housekeeping. It also turns the restaurant screens on, for room service. A booking names the room, the guest, the dates and the tariff you agreed. The same room cannot be booked twice for overlapping nights. An advance posts to Guest Advances, not to sales, until check-out. Check-out makes one pakka invoice and sets the room to cleaning.

How is GST worked out on room rent?

Room-rent GST follows the nightly rate. Up to ₹1,000 a night is nil. Up to ₹7,500 is 5%. Above that is 18%. When the tariff already includes GST, the slab is worked out on the amount before tax. A folio charge can still carry its own GST rate of 0, 5, 12, 18 or 28.

What if I cancel the check-out bill?

Cancelling that invoice from Sales Bills reverses the bill in the usual way. The journal that cleared the guest advance is not reversed for you. You reverse that journal with a journal voucher.

A second PC, backup, and known limits

How does a second PC in the shop connect?

The main PC holds the database. On that PC, turn LAN sharing on in Settings. The port must be between 1024 and 65535. The default is 47800. Copy the access key. Leave BillEase running. Sharing stops when the program exits. On the other PC, Search finds the server only on the shop network. Type the access key and choose the company. The client does not keep a second copy of the bills.

How many PCs can be signed in?

The licence user count is the number of client sessions. The trial allows 3. A paid licence allows the number printed on the file. Single counter is 1. The shop-network prices go up to 17 users. WAN includes 10, and further users are priced one by one. The Windows firewall on the main PC must allow the port. BillEase does not add that firewall rule.

What stays on the main PC only?

Purchase, backup and company registration stay on the main PC. The program refuses those on a client. The client uses the same sales screens. Regenerating the access key signs every client out.

How does a computer outside the shop connect?

Use the same client. On the shop router, forward the BillEase port to the main PC’s local address. On the outside PC, do not use Search. Type the public address, the port and the access key. If the shop’s public address changes, type the new address on the outside PC. The program does not track that change, and it does not open the port on the router.

Does paying for WAN unlock a different screen?

No. The edition name WAN is printed on the licence. What the program enforces is the user count, the machine id of the main PC, and the expiry date. There is no hidden screen that appears only after the WAN price is paid.

When can I take a backup?

Not during the trial. Backup, restore and automatic backup on exit do nothing until a licence is loaded. After that, Settings, Backup, asks for a file and a password of at least 6 characters. You need that password to restore. Backup every company writes one file per company, plus the company list. Restore into this company replaces the open company and restarts the program.

Can a forgotten backup password be recovered?

No. The program cannot recover a forgotten backup password. The backup is not a spreadsheet of bills and it is not a GST file. It is a copy of the encrypted database.

What is a stock transfer between branches?

It moves quantity and cost to another branch of the same firm. The other branch accepts or cancels. It is not a tax invoice. After it is accepted it cannot be edited. Send the goods back with another transfer. There is no central purchase order for the branches. The head office can open a read-only overview of branch sales, purchases, cash, bank, outstanding and stock.

What does the program deliberately not do?

It does not file GST on the portal, create an e-invoice or an e-way bill, or run payroll, TDS or cost centres. It does not offer a combined profit and loss or a central purchase. A dish does not consume ingredients. One bill cannot be split across two payment modes. The trial does not include backup. The program does not open a router port or a Windows firewall port for you. It does not read the data of other SSB products.

The working steps are in the guide. The amounts are on the price catalogue. The trial download is on the download page.
